Buyer’s Guide for Business Intelligence (BI) Software

Introduction to Business Intelligence (BI)

Today’s increasing awareness and concerns on Big Data is largely attributed to various business activities such as monitoring and management, information security, and network utilization, which all occurs on almost all types and sizes of industries. In relation to this, Business Intelligence (BI), and Analytics platforms have become the business management software of choice of many industries in the past several years because of their capability to systematically handle business Big Data. Forecasting sales and marketing numbers is in fact, one of the most common goals for implementing BI software today and the industries of Information Technology, Advertising and Media, and Automotive are among the top users of BI thus far. Several reports and surveys this 2014 also revealed that vertical markets including healthcare, aerospace, and telecommunications are already launching significant investments on BI solutions.

What is clear is that there is growing demand for Business Intelligence and Analytics platforms. Many buyers are looking for a software solution that allows the easy interpretation of Big Data, which in turn supports their organization’s decision-making processes and BI is believed to be the right fit for that.

This Buyer’s Guide for Business Intelligence Software will assist you in selecting the right BI tool that will fit into your current business needs, budget, and resources. Since BI is a business software solution that usually entails a significant amount of investment, it therefore requires a clear and concise understanding on your part of its features, functions, costs, trends, and technology behind its operation. These are the aspects that we will cover in-depth in this BI Buyer’s Guide:

  • What is BI?
  • History of BI
  • Types of BI Tools
  • Important BI Features
  • Finding the Right BI Tool
  • Pricing
  • BI Trends

What is Business Intelligence Software?

Business Intelligence (BI) is a software technology in which its primary function is to gather, analyze, and present business data into structured reports and other formats which can help an organization on its strategic planning and accurate decision making. As a software platform, BI systems have life cycle processes that not only IT people should fully understand, but also by every end user inside your organization. The BI process starts from multiple data sources, then the data is extracted, transformed, and loaded (ETL) into Analytic Data Structures. The terms Data Warehousing and Data Mining aid in the organization, storage, and retrieval of data. Furthermore, Data Analysis and Visualization facilitates the creation and generation of useful and meaningful reports and dashboards; (the user interfaces).

History of Business Intelligence

It was in 1865 when the term “Business Intelligence” was first mentioned on a certain business publication. It was used to describe the exceptional act shown by a banker named Sir Henry Furnese. As a businessman, Furnese was able to maintain a complete and perfect train of business intelligence. During the 1960’s, BI became a major component of the so-called Decision Support Systems (DSS). Innovations in DSS were further expanded during the 1980s and Business Intelligence was then used profoundly. In the late 1980s, it was Howard Dresner of the Gartner Group who proposed BI to be the core methodology behind the use of fact-based support systems. From then onward, business intelligence has been globally known as a system or tool for information analysis and decision support.

Types of Business Intelligence Tools

Many modern BI tools are equipped with these three important data warehouse functionalities: Extract, transform, and load (ETL), Data Management, and Data Warehousing. Real-time data processing, also one of BI’s capabilities, employs three important processing techniques: Enterprise Information Integration (EII), Business Activity Monitoring (BAM), and Complex Event Processing (CEP). Another computer processing technology that runs behind BI tools is the Online Analytical Processing (OLAP). It is from these advanced functionalities that rooted out these kinds of BI software: Strategic BI, Tactical BI, and Operational BI.

Many BI software solutions offered in the market today are scalable – they can be configured based on the size of the business that is going to use it. The types of BI software based on the depth of functionality and model of deployment are as follows:

Enterprise Suite

Also known as Integrated Suite, a BI of this type can be integrated with larger operational systems such as ERP, CRM, or Supply Chain Management (SCM) systems. Such a solution is best suited for mid-size and large enterprises.

Industry Specific

Also known as Best-of-Breed, this type of BI caters to the specific needs of vertical markets. Such a software solution offers a higher level of customization to suit the unique requirements of the business client.

Popularly known as Software as a Service (SaaS), this BI model is deployed on a central server (or “cloud server”) and accessed remotely using a network such as an intranet or the internet. Most SaaS solutions are offered as a subscription-based package.

This is the traditional BI software deployment model which involves the purchasing of a software license and housing and managing this software on-site or on the client’s server network.

Important Business Intelligence Features

Over the years, different approaches and technologies in software engineering design and development have produced BI platforms that are more advanced and sophisticated than traditional Relational Database Management Systems (RDBMS). Data warehouse appliances, analytical databases, and in-memory databases are among the BI tool’s advanced features that improve the data warehousing and data management processes. There also arise many other sophisticated features which every BI software buyer like you must carefully examine in your solution of choice. Those key BI features are as follows:

Selecting the Right BI Tool

There are different BI software providers today that are offering Integrated Suite and industry-specific solutions. Either of the two solutions can be a great fit into your organization. But as a general rule, choosing a solution must be based primarily on the size of your business, for that can always lead you to a winning investment decision. In addition, here are the important guidelines which you have to consider when selecting the right BI software solution for your business.

  1. Evaluate your industry and business size. BI solutions are available for large enterprises and SMBs. If you have more than 500 employees, then consider choosing an Enterprise Suite solution. If your company has less than 500 employees, a Best-of-Breed solution can be an advantage. There are also industry-specific BI. Consider checking if the solution provider can provide you the solution that can cater to your unique business needs.

  2. Check your budget and implementation time frame. Many providers have various pricing models where your budget can fit into. Keep in mind that in a BI acquisition and implementation project, you have to account the costs of software, hardware or IT infrastructure, deployment, on-going maintenance, and support services. For SMBs, BI investment can range from about $10,000 to $20,000. BI software implementation can be accomplished in as short as 1 week or up to a length of 24 months. The implementation phase involves services from outside consultants, end-user training, and labor hours rendered by your internal team.
  1. Determine your company goal. Understanding your businesses’ current and future position is an important consideration in any BI investment. There are BI tools that are designed to improve Sales Forecasting, Social Media Analysis, Logistics Analysis, and New Product Development so you have to be self-critical when selecting the right BI in accordance with your business direction. Your company goal has something to do with selecting the right features that must go with your BI solution. Features such as real-time analysis, graphic user interface, data governance, and 24/7 customer support are critical in a BI software. Try to investigate in-depth if they are really needed.

There are various factors that can contribute to the overall cost of buying and implementing BI software solutions. Owning BI software is not just about the cost of software alone. The Total Cost of Ownership (TCO) is of vital importance whenever launching an investment on any type of business management software. Here are the five factors that contribute to TCO.

A BI software license price ranges from $2500 to $6000. Oracle; for example, offers $5,800 per software license on its range of BI on-premises applications.

Most businesses have to leverage the cost of their IT infrastructures in order to implement a BI solution. Hardware infrastructures such as network servers, work stations, and hardware appliances can cost up to about 40-50% of the total software cost.

Cost per User

Most cloud-based solutions are offered from $50 up to $500 per user per month depending on the included features. As the number of user’s increases, companies can also reduce their subscription costs since there are pricing plans that offer discounts based on the number of users.

Time to Implement

Best-in-class solution providers can finish a BI software implementation project in the span of 2 weeks. However, some providers spend between 4 to 8 weeks and inexperienced providers can fully implement a solution within 6 to 12 months. It is also important to know that implementing a BI solution has hidden costs. These are mainly the consultant fees, end-user training, overhead expenses, and losses due to arising business operation delays and issues during implementation.

Software Modifications & Upgrades

Typically, a company can spend from $500 to $1000 on a one-day professional fee for an outside BI software developer who will conduct system modification and upgrades. On the average, the TCO of a BI solution can range from $150,000 to $300,000 for a small business alone.

Business Intelligence Market Trends

The BI industry, with an estimated worth today of around $15B, is projected to grow over the next 3 years. According to Gartner, Business Intelligence and Analytics will remain as the top focus of CIOs until 2017. Here are other trends that are bringing Business Intelligence and Analytics into the limelight.

Cloud Solution

Cloud-based BI platforms continue to expand its market share.
